01Information We Collect

We collect only what we need to schedule your appointment and to perform a lawful notarization:

  • Contact details you provide — name, phone number, email address, and appointment location.
  • Appointment details — service requested, document type, number of signers, date and time.
  • Identification details required by California law — the type of ID presented, and the identifying information we must record in our notary journal.
  • Payment information — processed by our payment provider; we do not store full card numbers.
  • Basic website usage data such as pages viewed, collected automatically to keep the site working and secure.

02How We Use Your Information

We use your information to confirm and schedule appointments, to travel to the correct location, to verify signer identity as required by law, to complete and return documents to you or to your lender, title company, or signing service, to collect payment, and to respond to your questions.

We do not sell your personal information, and we do not rent or trade it to third parties for their marketing.

03Notary Journal Records

California law requires every notary public to keep a sequential journal of notarial acts. Journal entries typically include the date and type of act, the document type, the signer's name and signature, and the method of identification used.

This journal is a legal record. We store it securely, and it may be inspected or produced only where required by law — for example, under a lawful subpoena or a request from the California Secretary of State, or upon a proper written request for a specific line item.

04Document Confidentiality

We treat your documents as confidential. We review only what is needed to identify the document type and complete the notarial certificate. Unless you or your lender, title company, or signing service instructs us to, we do not copy, scan, retain, or share the contents of your documents. Where scanning or return shipping is part of the service you requested, files are transmitted only to the party you designated and deleted from our devices once delivery is confirmed.

05When We Share Information

We share information only in limited circumstances: with the lender, title company, escrow, or signing service that engaged us for your closing; with government agencies such as the California Secretary of State for apostille and authentication requests; with service providers who help us operate (scheduling, email, payment processing, secure delivery); and when required by law, subpoena, or to protect against fraud or unlawful activity.

06Text Messages, Calls, and Email

If you give us your phone number or email address, you consent to appointment-related calls, texts, and emails — confirmations, arrival updates, and follow-ups about your service. Message and data rates may apply. You can opt out of non-essential messages at any time by telling us or replying STOP; we may still need to reach you about a booked appointment.

07Data Retention and Security

We keep notary journals and related records for as long as California law requires, and we keep appointment and billing records only as long as needed for business, tax, and legal purposes. Records are stored with reasonable physical, administrative, and technical safeguards, including restricted access and secure storage of the journal and seal.

No method of transmission or storage is completely secure, so please avoid sending sensitive documents through unsecured channels.

08Your California Privacy Rights

Depending on your circumstances, you may have the right to request access to the personal information we hold about you, to request correction of inaccurate information, to request deletion, and to be free from discrimination for exercising these rights.

Some records — most notably the notary journal — cannot be altered or deleted, because they are legally mandated records. To make a request, contact us using the details below; we may need to verify your identity first.

09Cookies and Website Analytics

This website uses only the cookies and basic analytics needed to keep the site functioning, secure, and reasonably measurable. We do not use your browsing data to build advertising profiles. You can block or delete cookies in your browser settings, though some features may not work as intended.

10Cookies and Your Choices

When you first visit our site, we show you a cookie consent banner so you can choose whether to accept or decline optional cookies. Essential cookies — those needed for the site to work securely and correctly — are always active.

If you accept optional cookies, we may use them to understand how visitors interact with the site and to improve your experience. If you decline, those optional cookies will not be loaded, and your choice is stored in your browser so the banner does not ask again. You can change your decision at any time by clearing your browser's local storage for crosstownnotary.lovable.app and refreshing the page.

11Children's Privacy

Our services are directed to adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact us and we will delete it where legally permitted.

12Changes and Contact

We may update this Privacy Policy from time to time; the “Last updated” date above reflects the current version.
